Privacy Policy

How GateSide handles estate operations data in Nigeria.

GateSide helps estates manage access, parties, visitors, credentials, payments, and security workflows. This policy explains what data we collect, how we use it, and how estates and users can manage their information.

1. Who operates GateSide

GateSide is owned and operated by Bytebranch Labs Limited. GateSide is currently designed for estate and gated community operations in Nigeria.

For the purposes of this policy, GateSide acts as the primary data controller for the platform. Estates and estate administrators own the estate data they manage through GateSide and are responsible for using that data lawfully and only for legitimate estate operations.

2. Plain English summary

GateSide is built for estate operations, not advertising. We collect and process information needed to help estates manage parties, visitors, access credentials, gate verification, security workflows, payments, and operational records.

We do not sell personal information, and we do not use party or visitor data for marketing campaigns.

3. Information we collect

GateSide may collect account and estate records such as names, phone numbers, email addresses, user roles, estate associations, space and building details, vehicle details, plate numbers, and administrator-created party records.

We may also process operational records such as visitor pass requests, gate verification activity, NFC or physical card credential records, service charge records, payment references, support requests, audit logs, device information, and basic usage data.

GateSide does not currently collect background location data, precise live location tracking, visitor photos, biometric identifiers, or payment card details directly. Payment card processing is handled by payment providers such as Paystack and Monnify.

4. Account creation and access

Party and operational accounts are created or invited by authorized estate administrators. Users may access GateSide through supported authentication methods such as phone OTP, email and password, and NFC or physical card verification where enabled by the estate.

Security guards and operational staff are shown limited information based on their role. They are not intended to have unrestricted access to full party records unless an estate administrator grants such access for a legitimate operational purpose.

5. How we use information

We use information to provide party access tools, visitor verification, gate activity records, estate administration, service charge tracking, WhatsApp and email notifications, security oversight, credential management, and customer support.

We may also use information to maintain platform reliability, prevent misuse, investigate operational issues, improve product performance, support smart access infrastructure, and comply with applicable legal or regulatory obligations in Nigeria.

Where AI-assisted tools are used, they are intended to support operational understanding, reporting, and workflow assistance. They are not used to sell user data or run advertising profiles.

6. Estate and administrator responsibilities

Estate administrators are responsible for ensuring that their staff use party, visitor, billing, and access records for legitimate estate management, security, billing, and operational purposes.

Estates are responsible for deciding how certain estate-managed features are configured, including party directory visibility, access restrictions, levy-related suspensions, operational exports, and data retention settings where available.

GateSide is not responsible for misuse of party, visitor, or operational data by an estate, its administrators, guards, facility managers, agents, or other authorized estate users.

7. Security operations and audit records

Gate verification records, audit logs, credential activity, and security-related records are kept to support estate accountability, investigation, and operational integrity.

Estate administrators cannot delete gate verification logs or core audit records from the platform. These records are treated as permanent security records unless a lawful deletion process applies when an estate stops using GateSide and all estate data is deleted.

GateSide employees and authorized support personnel only access user or estate data on a need-to-know basis. Internal access is intended to be controlled, limited, and auditable.

8. Physical credentials and smart access infrastructure

GateSide may support physical credentials such as NFC cards, QR passes, vehicle stickers, pass numbers, scanners, gate devices, and smart barrier integrations.

These tools are used to verify access permissions, speed up gate operations, revoke or suspend credentials, investigate misuse, and support estate security workflows.

GateSide helps estates manage access verification, but it does not guarantee that crime, unauthorized access, operational failure, or security incidents will never occur.

9. Sharing and service providers

We do not sell personal information. We may share information with trusted service providers that help us operate hosting, storage, analytics, messaging, payments, security, infrastructure, AI-assisted operations, and customer support.

These providers may include services such as Paystack, Monnify, WhatsApp Cloud API, Microsoft Azure, Vercel, Google Analytics, Firebase, Sentry, OpenAI, Gemini, or similar providers used to operate and improve GateSide.

We may disclose information when required by law, court order, regulator request, law enforcement request, estate security investigation, emergency situation, misuse investigation, or to protect parties, visitors, estate operations, GateSide, or the public.

10. Data exports and retention

Authorized estate administrators may export certain estate records through CSV, Excel, or similar reporting formats where the platform supports it.

Data retention may be configured by the estate for supported records such as visitor logs and operational records. Some security, gate, payment, billing, and audit records may be retained for longer periods where needed for accountability, reconciliation, dispute resolution, security review, or legal compliance.

If an estate stops using GateSide, GateSide may delete all data linked to that estate in line with the agreed offboarding process, subject to legal, security, dispute, payment, audit, backup, or regulatory obligations that may require limited retention.

11. Estate data deletion and offboarding

Only an estate owner, or a verified representative acting on the estate owner's authority, may request deletion of estate-linked data. GateSide may require reasonable verification before accepting or processing an estate-wide deletion request.

Estate owners may submit deletion requests through the GateSide dashboard or by contacting GateSide at hello@gateside.pro. Once an estate deletion request is accepted, the estate enters a 7-day pending deletion period. During this period, the estate owner may cancel the deletion request. If the request is not cancelled within 7 days, GateSide will proceed to delete records linked to that estate.

Estate deletion may include party records, guard and staff records, visitor records, visitor passes, service charge records, access credentials, vehicle records, uploaded files, announcements, support requests, audit logs, gate activity, device records, and other operational records linked to the estate.

Before deletion is completed, estate owners may request a supported data export through the GateSide dashboard or by email if they need records for lawful estate administration, accounting, dispute handling, or internal record keeping. Data exports are not automatic and must be requested before deletion is completed. After deletion is completed, data recovery may no longer be possible.

GateSide may retain limited records where required or reasonably necessary for legal obligations, security investigations, fraud prevention, dispute resolution, payment reconciliation, accounting, tax, enforcement of terms, regulatory compliance, or protection of GateSide, estates, parties, visitors, or the public.

Deleted records may remain in encrypted backups for up to 7 days until those backups are overwritten or expire in the ordinary course of backup management. Backup records are not intended to be restored except where needed for disaster recovery, security, legal, or compliance reasons.

Where applicable, GateSide will take reasonable steps to propagate deletion requests to relevant service providers or subprocessors, subject to their own legal, security, backup, and retention obligations.

12. Cookies, tracking, and notifications

GateSide may use cookies, local storage, session tools, analytics tools, and similar technologies to keep users signed in, secure the platform, understand usage, improve performance, and troubleshoot issues.

GateSide may send operational notifications through WhatsApp and email. These notifications may relate to access, passes, estate activity, payments, account updates, security workflows, support, or other platform operations.

GateSide does not currently use party or visitor data for promotional marketing campaigns.

13. Service availability and limitations

GateSide depends on internet access, hosting providers, payment providers, messaging providers, device availability, estate hardware, and other third-party infrastructure. Service interruptions, delays, hardware failure, internet issues, or provider downtime may affect platform availability.

GateSide provides operational tools to support estate management and access verification, but estates remain responsible for their own security decisions, guard procedures, party management, enforcement actions, and on-ground operations.

14. Your choices and data rights

Users may request access, correction, export, deletion, or deactivation of certain personal information, subject to estate operational requirements, platform security needs, legal obligations, and records that must be retained for security or accountability reasons.

Party deletion requests should first be submitted to the party's estate administrator because party records are managed by the estate. Parties may be asked to contact their estate administrator first for operational requests relating to estate-managed records, access permissions, party directory visibility, service charge records, or estate-level account changes.

15. Children

GateSide is not intended for direct use by children or minors. Estates should not create direct user accounts for minors unless they have the lawful authority to do so and the account is required for legitimate estate operations.

16. Changes to this policy

We may update this Privacy Policy as GateSide evolves, including when we add new estate operations, payment, notification, AI-assisted, physical credential, or smart access features.

When we make material changes, we may notify users or estate administrators through the platform, email, WhatsApp, or another appropriate channel.
